Information We Collect
When you submit a booking request or inquiry through our website, we collect the information you provide in the form, which may include:
- Your first and last name
- Your email address and mobile phone number
- Your preferred contact method
- Event details: event type, date, start time, venue name and address, estimated guest count, indoor/outdoor setting, and any notes you choose to share
- The package and optional enhancements you select
We also collect standard website usage information through Google Analytics, as described below. We do not collect payment card numbers or banking details through this website.
How We Use Your Information
We use the information you provide to:
- Respond to your inquiries and booking requests
- Prepare quotes and confirm availability for your event date
- Manage and deliver booked photo booth and event services
- Communicate with you about your event before, during, and after it takes place
- Keep internal records of requests, quotes, and bookings
We do not sell your personal information, and we do not use it for unrelated marketing lists.
Google Analytics
We use Google Analytics 4 (GA4), a web analytics service provided by Google, to understand how visitors use our website — for example, which pages are visited and how people find us. Google Analytics uses cookies and similar technologies to collect usage information such as pages viewed, approximate geographic region, device type, and referring website.
Your booking information is not intentionally transmitted to Google Analytics. Our website is configured so that the names, email addresses, phone numbers, event details, and booking references you enter in our forms are not included in the analytics event data we send to Google. Analytics data is used only in aggregate to improve our website and measure which marketing channels generate genuine booking inquiries.
When a booking request is successfully received by our system, our website sends Google Analytics a single, general conversion event indicating that a booking request was submitted. This event does not contain your name, contact details, event details, or booking reference. Google Analytics is not loaded on our private administration pages. Google may still collect standard technical information, such as your IP address and browser details, as part of providing its service.
You can opt out of Google Analytics tracking by using the Google Analytics Opt-out Browser Add-on, or by blocking cookies in your browser settings. Learn more in Google's Privacy Policy.
Service Providers
We use a small number of trusted third-party service providers to operate this website and our business:
- Supabase — hosts the database that stores booking requests, quotes, and related records, and provides secure sign-in for our authorized staff
- Resend — delivers booking-related emails (such as request confirmations and updates) to you and notifications to our team; it processes your name, email address, and the booking details included in those messages
- Google Analytics — measures website usage and booking-request conversions, as described above
- Lovable — hosts and serves this website and its server-side functions, which may involve processing standard technical request information
These providers may process information as needed to deliver their services to us. We do not sell your personal information. We may also disclose information when required by law or to protect our legal rights.
Data Retention
Booking inquiries, quotes, agreements, correspondence, and related business records are retained as reasonably necessary for business administration, recordkeeping, accounting, and applicable legal obligations.
Event photographs are made available and stored for 90 days after your event, as established in our Customer Agreement, unless a different period is specified in your Booking Summary or otherwise agreed in writing. Photographs may be retained longer when reasonably appropriate; the 90-day period is a minimum availability commitment, not an automatic deletion deadline. We encourage you to download and preserve your event photographs within the contracted availability period.
You may contact us with privacy or deletion requests at any time. Requests are evaluated in accordance with applicable law and our legitimate business recordkeeping obligations.
Your Privacy Rights
Depending on where you live, you may have the right to request access to the personal information we hold about you, to correct it, or to ask for it to be deleted. To exercise any of these rights, email us at events@southernmemorycapture.com. We will review and respond to your request within a reasonable timeframe, in accordance with applicable law.
Cookies and Browser Storage
Analytics cookies (optional). On our public pages, Google Analytics sets cookies (such as those beginning with “_ga”) to measure website usage, as described above. You can block or delete these cookies, or use the Google opt-out add-on, and you will still be able to browse our site and submit a booking request.
Essential storage (staff sign-in). Our private administration area uses your browser’s local storage to keep authorized Southern Memory Capture Co. staff securely signed in. Public visitors do not need an account, and this storage is not used for advertising or tracking. Blocking browser storage may prevent staff sign-in from working.
We do not use advertising cookies, and we do not run third-party ad trackers or marketing pixels.
Children's Privacy
Our website is intended for adults planning events and is not directed toward individuals under 18 years of age. We do not knowingly collect personal information directly from minors through our website.
Children and teenagers may participate in our photo booth experiences at school functions, private celebrations, and other events. Photographs taken during these events are handled in accordance with our Customer Agreement and applicable privacy requirements.
Southern Memory Capture Co. LLC does not use photographs containing minors under 18 in its website advertising, social media marketing, or other promotional materials. This restriction applies regardless of whether the event organizer has granted general marketing permission.
Event organizers and schools remain responsible for communicating applicable participation and photography restrictions, consistent with our Customer Agreement and applicable law.
Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision.
